Privacy Statement

I.
GENERAL PROVISIONS
  1. This Privacy Policy is applicable to the personal data of users of the Medical Library Forum/Forum Bibliotek Medycznych Journal Platform, operating under the following URLs: https://mlf.wum.edu.pl and https://fbm.wum.edu.pl, hereinafter “Platform”.
  2. The personal data will be processed by the Medical University of Warsaw, located in Warsaw, represented by the Rector, 61 Żwirki i Wigury Street, 02-091 Warsaw, Poland, Tax Identification Number: 525-00-05-828, hereinafter “Administrator”.
  3. The Administrator has appointed a Data Protection Officer, who can be contacted by e-mail: iod@wum.edu.pl or by phone: +48 22 57 20 240.
  4. Personal data will be processed according to applicable legislation, including Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter “GDPR”.
II.
PURPOSE, EXTENT, AND DURATION OF DATA PROCESSING
  1. The Platform users’ personal data will be processed to a necessary extent in order to ensure that academic electronic journals operate efficiently, especially for the purpose of: efficient communication during the editorial process; editing contents; preparing interior reports and analyses (including statistics about subpage hits, publication readership); sending notifications and information about the journal (given the user’s consent); informing the readers about the authors of the texts published on the Platform; indexing the published texts and data in databases, catalogues, and services, according to the journals’ publishing policy.
  2. The users registered on the Platform can share the following data with the Administrator: first name, last name, public username, academic degree/title, login, e-mail, country, affiliation, institutional membership, biographic information, research interests, ORCiD number, webpage, address, phone number, profile picture, their function (role) on the Platform.
  3. Sharing of personal data is:
    • optional while browsing the contents of open access journals available on the platform,
    • necessary in case of participation in the electronic publishing process, including: submitting texts for publication as an author; acting as: an editor, section editor, technical editor, reviewer, DTP specialist, indexer, proofreader, journal manager, subscription manager, marketing manager; registering a reader account in order to get information about newly published issues and articles.
  4. According to art. 89 of GDPR, personal data of all participants of the electronic publishing process, including publication authors, editors, reviewers, will be processed for academic and statistic purposes for the entire duration of the journal’s electronic edition being published. Academic purposes include: archiving the articles and metadata, sharing them, indexing and transferring them for indexing in databases, catalogues, and on academic websites.
III.
USER RIGHTS
  1. Every user registered on the Platform has rights established in Chapter 3 of the GDPR, which can be exercised after considering the conditions defined in the aforementioned regulations, especially: the right to access to personal data, rectification, and the right to restriction of processing. The user has also the right to make a complaint to the President of the Personal Data Protection Office, 2 Stawki Street, 00-193 Warsaw.
  2. The user has the right to edit their account and the previously submitted data, excluding the system login. Using the application, they can at any time withdraw the consent to receive information from the editorial teams of the journals published on the Platform.
  3. Rights described in point III.1. can be exercised after submitting a request to the Administrator via e-mail: iod@wum.edu.pl.
IV.
ADMINISTRATOR’S RIGHTS
  1. The Administrator reserves the right to process the user’s data after withdrawal of consent only if it is necessary for legal proceedings or if the legislation of the country, the European Union, or international law obliges them to retain the data.
  2. The Administrator has the right to make the user data available to authorised entities based on applicable legislation.
  3. The Administrator can use the services of other processors in regards to entrusting data processing according to art. 28 of GDPR.
  4. The data can be given to: processors, in regards to commission of services of administration and technical support for the Platform; providers of analytic systems; providers of databases and indexing catalogues; entities or executives authorised by the law.
V.
SECURING PERSONAL DATA

Medical University of Warsaw processes personal data due to applicable regulation regarding personal data protection and applies technical and organisational means to ensure the security of processed data appropriate for threats and categories of secured data, especially protecting personal data from being shared with unauthorised parties, being lost or damaged.

VI.
COOKIES

The Platform uses cookies to identify the visitor’s browser. Gathering this data lets the Administrator know about the frequency of website visits and identify its most interesting elements. The gathered data will allow the Administrator to make the Platform better suited for users’ needs and more functionable; it will also be used for statistic purposes. Cookies cannot be used to infect the device with viruses or other malware.

VII.

Medical University of Warsaw reserves the right to update this privacy policy by publishing a new version of it on the Journal Platform.
